Policy

This policy explains what Yeo Media collects when you fill in the form on this website, why we collect it, what we do with it, how long we keep it, and how to have it deleted. It also sets out our text messaging policy in full.

1. Who we are

Yeo Media is a marketing agency working with local service businesses in Chicagoland, Illinois. We run content and paid advertising to generate leads for our clients.

This policy covers this website and the intake form on it. It applies to the information you give us directly, and to what the advertising tag on this website collects when you visit (section 9). It does not cover the separate websites of our clients or of any third party we link to.

2. What we collect

We collect what you type into the intake form on this website, and we store it the moment you submit it: your answers, the time you submitted, whether the form routed you to our calendar or to a direct reply, and your text message choice with the time you made it. We also keep the basic technical information your browser sends to any website.

Information you give us

  • Your name.
  • Your business name.
  • Your email address.
  • Your phone number. This field is optional. You can submit the form without it.
  • Your intake answers. The questions we ask about the type of business you run, what you need most right now, your monthly marketing budget, your timeline for starting, and the area you serve.
  • Our own notes. Once we have read your inquiry we may add notes of our own and record where it stands, for example that we replied or that a call was booked. Those notes are written by a named member of our staff and are kept with your inquiry.

Information collected automatically

When you submit the form we store the IP address and browser details that came with it, alongside your answers. If you ticked the text message box we keep them with your consent record as well, so that we can show when and from where the permission was given. Like most websites, our hosting provider also records standard request data such as IP address, browser type, referring page, and the time of the request, which we use for security and to keep the site running. We do not use any of it to build a profile of you.

What we do not collect

We do not ask for and do not want payment card numbers, government identification numbers, health information, or any other sensitive category of personal information through this website.

3. Why we collect it, and our legal basis

We collect this information for one reason: so we can answer your inquiry and work out whether we are a fit for each other before either of us spends time on a call.

Our legal basis is your consent. You choose to fill in the form and you choose to submit it. Completing the form sends your answers to us and is how you give us permission to contact you about the inquiry you sent.

Text messaging consent is separate and additional. Consent to receive text messages is a distinct, optional permission that you give by ticking a box on the form. That box is never ticked for you, and leaving it unticked has no effect on your inquiry, on the form submitting, on whether we reply, or on any service you may buy from us later. Section 6 sets that out in full.

4. How we use your information

We use what you submit to:

  • Reply to your inquiry by email or phone.
  • Understand your business well enough to say honestly whether we can help.
  • Schedule, confirm, and remind you about a call or an appointment you asked for.
  • Send you the follow-up about your inquiry that you asked for.
  • Keep our own records of who has contacted us and what we told them.
  • Record whether we could help, including when the answer was no.
  • Work the inquiry in a private internal dashboard that only authorised accounts can log into.
  • Record and honour your text message choice.

We do not use your information to train advertising models, to build audiences for anyone else, or for any purpose you would not reasonably expect from the form you filled in.

5. Who we share it with

We do not sell your personal information, and we do not rent or trade it.

We share it only with the service providers we use to run the business, and only so they can perform that service for us. That means the companies that host this website, deliver our email, and keep our customer records. They are permitted to use your information to provide their service to us and for nothing else.

We name the providers we use, so you know where your information actually goes. This website and the code that receives your form submission are hosted by Vercel Inc. Your submission and our notes on it are stored in a database hosted by Supabase, Inc., which holds it for us and uses it for nothing else. Bookings are handled by Cal.com, Inc.: if you book a call, the name, email address, phone number (if you gave one) and intake answers you gave us are passed to Cal.com so the booking can be made, under Cal.com's own privacy policy. We also keep a copy of each inquiry, with your contact details and answers, on a Monday.com board (monday.com Ltd.), where we track it. Our email runs on Google Workspace. The videos on this website are hosted by Vimeo.com, Inc. and streamed from its player. We measure our Facebook and Instagram ads with the Meta Pixel from Meta Platforms, Inc. (section 9), which never receives what you type into our form. Granchi Digital LLC built and maintains this website and our internal dashboard, and its personnel can access stored inquiry data when doing that work and for no other purpose.

We may also disclose information if the law requires it, for example in response to a valid legal request, or where it is necessary to protect our rights or someone's safety.

Text messaging

6. SMS and text messaging

This section describes our text messaging program in full, including how you join it, what you will receive, and how you leave.

How you opt in

You opt in by ticking the optional consent checkbox on the intake form on this website and then submitting the form. That checkbox is unticked by default and we never tick it for you. Ticking it is the only way to join. We do not add phone numbers from any purchased list, any third party, or any other source.

We store the fact that you ticked the box, the exact wording you were shown, and the date and time, so we can show you gave permission.

Consent to receive text messages is optional and it is not a condition of purchase. The form submits normally whether the box is ticked or not, and we will still reply to your inquiry by email either way.

What messages you will receive

If you opt in, Yeo Media may send you:

  • A confirmation that we received your inquiry.
  • Confirmations and reminders for a call or appointment you have booked with us.
  • Follow-up messages about the inquiry you submitted.

These are conversational and transactional messages tied to the inquiry you sent us. They come from Yeo Media.

Frequency, rates, and support

Message frequency varies. How many messages you get depends on your inquiry and on whether you book an appointment.

Message and data rates may apply. Your mobile carrier's standard rates apply to messages you send and receive.

Reply STOP to any message to opt out. You will get one final message confirming that you have been unsubscribed, and then no further texts. Reply HELP for help, or contact us at yeomedia.co@gmail.com or 847-867-4285.

Mobile phone numbers and SMS consent are never sold, rented, or shared with third parties for marketing or promotional purposes. We share a mobile number only with the service providers named in section 5 (the messaging provider that delivers our messages, Cal.com if you book, and Monday.com, where we track inquiries), solely so they can provide that service, and never for their own marketing.

Carrier liability

Carriers are not liable for delayed or undelivered messages.

Supported carriers and cost

We do not charge for text messages. Delivery is subject to your carrier's network and coverage.

7. How long we keep it

We keep your inquiry, our notes on it and the record of what we did with it for as long as we need them to answer you and to keep an accurate record of the conversation, and no longer than 24 months after our last contact with you, unless you ask us to delete it sooner or unless we become a client of yours, in which case the records are kept for the life of the engagement and for the period afterwards that our accounting and tax obligations require. Our internal dashboard records the date of our last contact with you explicitly, and the 24 months runs from that date.

Two records are kept longer, for one reason each. If you opt out of text messages we keep a minimal record of your phone number and your opt-out, for the sole purpose of making sure we do not message you again. And your text message consent or refusal record, with the phone number it applied to, is kept for four years, so that we can answer any dispute about whether permission was given. Neither record is used for anything else.

8. Your choices, and how to have your information deleted

See what we hold
Email us and we will tell you what information about you we have on file, including any notes we made about your inquiry.
Correct it
If something we hold is wrong, tell us and we will fix it.
Delete it
Email yeomedia.co@gmail.com with the subject line "Delete my information", from the email address you used on the form, or call us at 847-867-4285. We will delete your inquiry, our notes on it and your contact details within 30 days and confirm when it is done. Three things survive that deletion. The opt-out record described above, because deleting it would let messages resume. Your text message consent or refusal record, including the phone number it applied to, which we keep for four years so that we can answer any dispute about whether permission was given. And a dated line in our internal log recording that a deletion happened, with your personal details removed from it.
Stop the texts
Reply STOP to any message from us. That works immediately and it does not require an email.
Stop the emails
Reply to any email from us and say so, or use the unsubscribe link where one is present.

We do not discriminate against anyone for exercising any of these choices.

9. Cookies and analytics

This website uses the Meta Pixel, an advertising tag from Meta Platforms, Inc., so we can measure how our Facebook and Instagram ads perform and show our ads to people who have visited this site. When a page here loads, your browser sends Meta the page address, your browser and device details, your IP address and any Meta cookies already in your browser, such as _fbp, which the pixel may set. It also tells Meta when an inquiry sent through our intake form is a qualified one, and when you reach our booking confirmation page. We do not send Meta your name, email address, phone number or intake answers. Meta uses this information under its own privacy policy.

You can limit how Meta uses it in your Facebook and Instagram ad settings, or block the pixel with your browser's tracking protection or a content blocker. The site works the same without it.

The videos on this website are played through Vimeo's embedded player, with Vimeo's Do Not Track setting on, so Vimeo does not set tracking cookies or record your viewing for its own purposes. A video only loads when it scrolls into view or you press play. Vimeo's own privacy policy applies to its player.

If a member of Yeo Media staff signs in to our internal dashboard, a session cookie is set for that person so the dashboard knows who they are. It is never set for ordinary visitors to this website.

You can block or delete cookies in your browser settings. The site will still work.

10. Security

This site is served over an encrypted connection. Inquiry data is stored in a private database and reached only through an internal dashboard that is not linked from this website and requires a login. Each member of Yeo Media staff has their own account and signs in with a one-time code emailed to their work address, which is sent only to an address with an active staff account, so we hold no password for them. Logins are not shared, and the dashboard records which person changed a status or added a note and when. Granchi Digital LLC, which built and maintains the site and the dashboard, can access stored data when doing that work and for no other purpose. No method of transmission or storage is perfectly secure, so we cannot promise absolute security, but we do not collect sensitive categories of information in the first place, which is the strongest protection available.

11. Children

This website and our services are for business owners and operators. They are not directed at children, and we do not knowingly collect information from anyone under 18. If you believe a minor has submitted information to us, contact us and we will delete it.

12. Changes to this policy

If we change how we handle your information, we will update this page and change the "last updated" date at the top. Material changes to the text messaging section will be reflected here before they take effect. Your continued use of the site after a change means you accept the updated policy.

13. Contact us

For any privacy question, a request to see what we hold, or a request to delete it, contact us directly. A person reads these.
